Event Sales Coordinator
Coordinate the MTRP Foundation’s facility rental program, which includes soliciting and booking
external groups’ use of the Mission Trails Regional Park Visitor and Interpretive Center and adjacent
amphitheater for private events.
Description of Duties
- Primary MTRP Foundation contact regarding facility rentals, and attend evening events as
the Foundation’s representative to ensure proper use of the facility; - Market venue rentals to event professionals and potential clients;
- Respond to inquiries regarding facility use from a variety of sources, conduct venue tours,
manage paperwork, contracts, and coordinate with Operations Manager regarding
payments to the MTRP Foundation; - Coordinate rentals which includes working with clients, vendors, third-party event
planners, and managing and monitoring the after-hours events onsite while executing the
rules and regulations set forth by the MTRP Foundation and the City of San Diego; - Maintain clear records and details about clients and events;
- Prepare venue for private events by ensuring Gift Shop items are removed and necessary
amenities are available and ready for clients; - Assist and offer solutions for problems that may arise during events;
- Provide analysis and reports as requested and as needed.
Minimum Qualifications
- At least three years of event coordination and event sales experience
- Experience managing a sales pipeline and planning for multiple events simultaneously
- Excellent interpersonal, writing, communication and organizational skills
- Skilled at developing relationships and negotiating with external vendors
- Ability to effectively interact with staff, visitors, and stakeholders at all levels
- Computer skills using MS PowerPoint, Word, Outlook, Excel, and web-based programs
- Operational knowledge of standard office equipment
Additional Requirements
- Ability to stoop, kneel, bend, reach, stand, walk, push, pull, lift, work with fingers, grasp,
feel, talk, hear, and perform repetitive motions. - Ability to perform light work exerting up to 25 pounds of force occasionally, and/or a negligible amount of force constantly to move objects.
- Valid Driver’s License and reliable transportation.
Compensation: $30/hour
Hours: Part-time and flexible, up to 20 hours/week, including weekends and evenings
Goals: Book at least seven after-hours events and 15 daytime rentals per quarter or 28 after-hours and 60
daytime rentals per year. A signed rental contract and receipt of the required deposit constitute a
secured booking.
Work Site: Remote, with some work at MTRP Visitor Center
